With the aid of this employee shift scheduling template, you can make a timetable for any number of workers that is 4 or 6 weeks long. It employs different tables for daytime and nighttime operations. To indicate which days a person is going to work, enter a "X" in the appropriate field.

This template's main goal is to make it simple for you to construct a very flexible employment schedule.

1. The Total row(s) and Days column count the number of X's so you can easily see how many people work each day and how many days each person works.

2. Other cells can contain whatever codes you want as notes about people taking time off, availability for on-call, and so on. The Xs are the only ones that are counted.

3. If you want, you can change the background colors to highlight different weekend days.

4. Simply unhide the columns to the right of the table to create a 6-week employee schedule instead of a 4-week schedule.

How to Create a Flexible Employee Schedule

Step 1. Print a blank sheet for each employee

After printing a blank timesheet, you can let everyone manually fill in the days they want to work, the days they specifically need a break, the number of vacation days, etc.

You can also share a draft copy of the spreadsheet for anyone to fill out online, but this may depend on your staff (and their computer skills).

Step 2. Enter each employee's schedule into the spreadsheet

Step 3. Adjust the schedule based on the need

Some people try to use software to automate the creation of the schedule, but sometimes it's just easier to use your own brain, especially when there are considerations you need to factor in that a computer can't automate.

Step 4. Share the final schedule with each employee

Print it out or create a PDF. In Excel 2010+, you can create a PDF by going to File > Save As and choosing PDF.
