Employee Schedule Template - While you can find specialized employee scheduling software, sometimes all you need is the flexibility of a simple spreadsheet. I created this new employee schedule template for a hospital with 12-hour shifts where nurses can work full or part-time.

You can list any number of employees and count the number of employees working each day to help you create work schedules. Here's more information about the actual use of the employee plan template.

Description Employee Schedule Template

This employee shift schedule template will help you create a 4 or 6 week schedule for any number of employees. It uses separate tables for day and night shifts. Put an "X" in the cell to indicate which days a person will work.

The point of this template is to make it easy for you to create a very flexible employee schedule.

1. The total row and days columns count the number of Xs, so you can easily see how many people worked each day and how many days each worked.

2. You can paste any code into other cells as a note about people on vacation, on duty, etc. Only X is calculated.

3. If you like, you can change the background color to highlight different weekends.

4. To create a 6-week employee plan instead of a 4-week plan, simply expand the column to the right of the table.

How to Create a Flexible Employee Schedule

Step 1. Print a blank sheet for each employee

After printing a blank schedule, have each person fill in by hand which days they want to work, which days they need off specifically, vacation days, and so on.

You could also distribute a draft copy of the spreadsheet and have each employee fill it out online, though this may be dependent on your employees (and their computer skills).

Step 2. Enter each employee's schedule into the spreadsheet

Step 3. Adjust the schedule based on the need

Some people try to use software to automate the creation of the schedule, but sometimes it's just easier to use your own brain, especially when there are considerations you need to factor in that a computer can't automate.

Step 4. Share the final schedule with each employee

Print it out or create a PDF. In Excel 2010+, you can create a PDF by going to File > Save As and choosing PDF.
