Description Schedule Template Google Sheets

This employee shift scheduling template will assist you in creating a four or six-week schedule for any number of employees. It has a different table for day and night shifts. Insert a "X" into a cell to indicate which days a person will be working.

The goal of this template is to make it simple for you to create a highly flexible employee schedule.

1. You can quickly determine how many individuals are working each day and how many days each person is working by looking at the Total row(s) and Days column, which tally the amount of Xs.

2. Other cells can contain any codes you choose as notes on people taking time off, being available for on-call, etc. All that is counted are the Xs.

3. If you wish to highlight different weekend days, you can alter the backdrop color.

4. Simply unhide the columns to the right of the table to construct a 6-week employee schedule as opposed to a 4-week one.

How to Create a Flexible Employee Schedule

Step 1. Print a blank sheet for each employee

You can print up a blank schedule and ask each employee to hand-write in the days they want to work, the days they specifically need off, their vacation days, etc.

To have everyone complete the spreadsheet online, you could also distribute a draft version, although that would rely on your staff (and their computer skills).

Step 2. Enter each employee's schedule into the spreadsheet

Step 3. Adjust the schedule based on the need

Some people try to use software to automate the creation of the schedule, but sometimes it's just easier to use your own brain, especially when there are considerations you need to factor in that a computer can't automate.

Step 4. Share the final schedule with each employee

Print it out or create a PDF. In Excel 2010+, you can create a PDF by going to File > Save As and choosing PDF.
